The problem
A wedding has hundreds of moving parts, deposits due on different dates and a budget that creeps up one "small" upgrade at a time. Families end up keeping the plan in group texts and somebody's memory.
Step by step
- 1Write down the basics: wedding date, rough guest count, total budget, location, and what is already booked or decided.
- 2Paste them into ChatGPT or Claude with the prompt below to get a month-by-month checklist counting back from the date.
- 3Ask it to turn the budget into a table (category, estimated cost, deposit, due date, paid, vendor). Paste that into Google Sheets and add a total row so everyone sees what is left.
- 4Replace the AI's cost estimates with real quotes as vendors reply. Its numbers are rough averages, not prices in your town.
- 5Share the Sheet and checklist doc with the couple and the parents helping pay, and look at them together once a month.
Copy-paste prompt
Help me plan a wedding. Date: [date]. Location: [city/state]. Guests: about [number]. Total budget: $[amount]. Already booked or decided: [list]. Style: [e.g. outdoor, church and reception hall, small and casual]. Give: (1) a month-by-month checklist counting back from the date, with who usually handles each task; (2) a budget table with categories, a suggested share of the budget for each, and columns for vendor, quote, deposit, due date and paid; (3) the vendor decisions to lock in first because they book up early; (4) questions to ask each vendor before signing. Mark every cost as a rough estimate and keep the total at or under my budget.
Tips and watch-outs
- AI cost estimates are national-style averages; replace them with real local quotes as soon as you have them.
- Read every vendor contract yourself, especially deposits, cancellation and weather clauses.
- Keep one shared Sheet as the source of truth instead of plans scattered across group texts.
