The problem
Trip details end up scattered across a dozen emails: the flight in one, the hotel in another, the rental car and event tickets somewhere else. At the airport or the front desk you are scrolling your inbox for a confirmation number.
Step by step
- 1Search your email for the trip (try the destination name, "confirmation" or "itinerary") and open each booking: flights, lodging, rental car, tours, tickets and restaurant reservations.
- 2Copy the important text from each one: dates, times, addresses, confirmation numbers and check-in or cancellation rules. Leave out card numbers, passport numbers and loyalty account passwords.
- 3Paste it all into ChatGPT, Claude or Gemini with the prompt below.
- 4Check every date, time and time zone against the original emails. AI can mix up a.m. and p.m. or time zones, and the airline or hotel email is always the final word.
- 5Paste the itinerary into a Google Doc, share it with everyone on the trip, and download it for offline use (or save a PDF on your phone) in case you lose signal.
Copy-paste prompt
Here are the booking confirmations for my trip [paste the text from each email; no card or passport numbers]. Travelers: [names or initials]. Make one itinerary: (1) a day-by-day schedule in time order with the local time and time zone for each item; (2) a table of every booking with company, confirmation number, address, phone number and check-in/check-out or pickup/drop-off times; (3) cancellation deadlines and anything I must do ahead of time (online check-in, ID, deposits); (4) gaps in the plan, such as a night with no lodging or no ride from the airport. Do not invent details; if something is missing, write "NOT IN EMAILS".
Tips and watch-outs
- Never paste card numbers, passport numbers or account passwords; confirmation numbers and times are all you need.
- Check every time and time zone against the original email; the airline or hotel is the final word.
- Save an offline copy or PDF on your phone in case you lose signal.
