The problem
On a small home build, the schedule lives in the builder's head and phone. Subs show up a day early, a day late or not at all, and every slip pushes the next trade. Calling and texting each sub every week eats hours.
Step by step
- 1List each job's phases in order (footings, slab, framing, rough-ins, insulation, drywall, trim, final) with the sub, phone number and expected start date in a Google Sheet, or use the schedule in Buildertrend or CoConstruct if you already have it.
- 2Ask ChatGPT to turn your rough notes into that phase list and flag dependencies (for example, rough-in inspection must pass before insulation).
- 3Set up a Zapier zap that runs each afternoon, finds phases starting tomorrow and sends the sub a text through OpenPhone (or Buildertrend's built-in notifications).
- 4Have the text ask the sub to reply YES to confirm; replies land in your OpenPhone inbox.
- 5When a phase slips, change one date and let the following reminders update themselves.
Copy-paste prompt
I am a small home builder. Turn these notes into a construction schedule table with columns: phase, sub/trade, phone, start date, duration (days), depends on, inspection needed (Y/N). Put phases in the correct build order and flag anything that looks out of sequence. Notes: [paste notes]
