Please note: Protect your kids' privacy: don't share full names, schools, photos or records with AI tools, and follow your school's AI rules. This is not medical or counseling advice; for health, safety or emotional concerns, talk to your pediatrician or school counselor.

The problem

Between teacher emails, school newsletters, app notifications, sports updates and paper flyers, parents get dozens of school messages a week. The one about picture day or a field trip form gets lost, and the kid shows up without what they need.

Step by step

  1. 1Once a week (Sunday night works well), gather the school messages: copy the text of emails or app posts, and take photos of any paper flyers.
  2. 2Before pasting, remove other children's names, phone numbers and anything about specific students. You only need dates, events and instructions.
  3. 3Open ChatGPT, Gemini or Claude, attach the photos and paste the email text with the prompt below.
  4. 4Check the digest against the originals for dates and times; AI can misread a photo.
  5. 5Add the dates to your family Google Calendar, put forms and money on the counter the night before, and share the digest with the other parent or caregiver.

Copy-paste prompt

Prompt
Here are this week's school messages and photos of flyers [paste/attach]. Make one digest for a busy parent: (1) a table of dates with event, time, which child/class, and what to do or bring; (2) forms to sign or money to send, with deadlines; (3) anything that needs a reply; (4) a two-line "nothing important" list of the messages that need no action. Sort by date. If a date or time is unclear, mark it "CHECK" instead of guessing.
