Build a weekly reorder list from your POS sales report

Use last month's sales to see what to reorder, what to mark down and what is about to run out.

Estimated time saved

Estimated: 1–2 hours a week, plus fewer stockouts and less dead stock. (Estimate; results vary.)

The problem

Reordering by walking the shelves means best sellers run out and slow items pile up in the back. Most POS systems already have the sales data, but few owners have time to dig through the reports every week.

Step by step

  1. 1Export an item sales report for the last 30–60 days and a current inventory report from your POS (Square, Shopify POS and Lightspeed all have these).
  2. 2Combine them in one sheet: item, vendor, units sold, on hand, cost, price. Remove any customer information before using AI.
  3. 3Upload the sheet to ChatGPT (or use Copilot in Excel) and ask for weeks of supply for each item, a reorder list for anything under your target, and a list of items that have not sold.
  4. 4Review the suggestions; you know about seasonality, special orders and vendor minimums that the data does not.
  5. 5Place orders, plan a markdown or bundle for the slow movers, and repeat weekly with a fresh export.

Copy-paste prompt

Prompt
Here is my store's sales and inventory data with columns: item, vendor, units sold in the last [30/60] days, on hand, cost, price. [paste or attach]. For each item calculate weeks of supply at the current sales rate. Then give me: (1) a reorder list grouped by vendor for items with less than [3] weeks of supply, with a suggested quantity to get back to [6] weeks, (2) items with zero sales in the period and their total cost on hand, and (3) my top 10 sellers by profit. Show your math in a table and do not guess at missing numbers.
