Build prior authorization checklists by payer
Turn each insurer's public prior-auth rules into a one-page checklist for your most common services.
Estimated: 2–4 hours a week of looking up rules, plus fewer delayed appointments. (Estimate; results vary.)

The problem
Prior authorization rules differ by payer and change often. Staff look them up again and again, miss a required document, and the request gets denied or the appointment gets pushed back.
Step by step
- 1List the 10–15 services or procedures your practice most often needs prior authorization for, with their codes.
- 2Download each major payer's public prior authorization list and requirements from its provider website. These are policy documents, not patient records.
- 3Upload them to NotebookLM or Claude and ask for a checklist per service and payer: whether auth is required, the submission method, required clinical documentation and typical turnaround time.
- 4Have your billing lead verify each line against the source page and mark the date checked.
- 5Keep the checklists in a shared Google Doc at the front desk and re-run the process when payers publish updates.
Copy-paste prompt
You are helping a medical practice front office. Our common services needing prior auth are: [list services and codes]. From the attached payer prior-authorization documents, build a checklist table for each payer with columns: service/code, auth required (yes/no/depends), how to submit (portal, fax, phone), required documentation, typical turnaround, and the document and page the answer came from. If a document does not say, write "not stated" instead of guessing.
