The problem

Insurance companies publish provider bulletins and policy updates as long PDFs. Front-desk and billing staff rarely have time to read them, so changes to referrals, prior authorization lists or covered codes get missed until claims start denying.

Step by step

  1. 1Download this month's provider bulletins or policy update PDFs from each payer's provider portal. These are public policy documents, so no patient information is involved.
  2. 2Upload them to NotebookLM (or ChatGPT/Claude) together with a short list of the services and codes your practice actually bills.
  3. 3Ask for a summary of only the changes that affect those services, with effective dates and the page each change came from.
  4. 4Have the office manager or biller check every item against the source page before anything changes.
  5. 5Post the confirmed one-page sheet at the front desk and update your scheduling and referral scripts.

Copy-paste prompt

Prompt
You are helping a medical practice front office. Our practice mainly provides: [list services and CPT codes]. From the attached payer bulletins, list only the changes that affect us. For each one give: what changed, effective date, what the front desk or billing team must do differently, and the document and page it came from. If something is unclear, say so instead of guessing. Do not include anything that does not apply to our services.
