The problem
Chasing late payments is awkward, so owners put it off and cash flow suffers. When they do send a reminder, it is often either too soft to work or so annoyed it hurts the customer relationship.
Step by step
- 1Decide your reminder schedule, for example: 3 days before due, on the due date, 7 days late, 30 days late. Note your payment options (link, check, card by phone) and any late fee that is in your written terms.
- 2Open ChatGPT or Claude and paste the prompt below. Do not paste real customer names or invoice details; the templates use placeholders.
- 3Edit the drafts so they sound like you. Make sure any late fee or deadline matches what the customer agreed to.
- 4Save each one: in Gmail as a template (Settings → See all settings → Advanced → turn on Templates, then in a new email click the three dots → Templates → Save draft as template), in Outlook with My Templates, or in QuickBooks under the invoice reminder settings if you use it.
- 5Each week, check your unpaid invoices and send the matching reminder, filling in the name, invoice number and amount. For anything 30+ days late, pick up the phone before sending the firm one.
Copy-paste prompt
Write a set of payment reminder messages for my [type of business]. Use placeholders: [customer name], [invoice number], [amount], [due date], [payment link or how to pay]. Create: (1) a friendly heads-up 3 days before the due date, (2) a due-today note, (3) a polite 7-days-late reminder, (4) a firm but respectful 30-days-late notice that mentions [late fee from my terms, or "no late fee"] and asks them to call me at [phone]. For each, give a short email (under 120 words, with a subject line) and a text message (under 300 characters). Keep the tone professional and warm, never threatening, and do not invent any fees or legal consequences.
Tips and watch-outs
- Keep real customer names, amounts and invoice numbers out of the AI tool; fill them in yourself.
- Only mention late fees or interest that are in your written terms or invoices.
- If your invoicing tool (QuickBooks, Square, Wave and others) can send automatic reminders, paste your new wording into it instead of sending by hand.
Review AI output before using it. Don’t paste confidential, customer or patient data into tools your company hasn’t approved.
