The problem
Small businesses usually hire when they are already short-handed, so the job post gets thrown together in five minutes. Vague posts attract the wrong applicants, and unstructured interviews make it hard to compare people fairly.
Step by step
- 1Write down, in your own words, what the person will actually do day to day, the schedule, pay range, must-have skills or licenses, and what would make someone great at it. A voice memo works too: use the microphone button in the ChatGPT app and just talk.
- 2Open ChatGPT or Claude and paste the prompt below with your notes.
- 3Edit the job post so it sounds like you and is accurate about pay, schedule and requirements. Remove anything that is not truly required.
- 4Post it on Indeed, your website, Facebook and with any local trade school or workforce center.
- 5Print the interview questions and use the same questions with every candidate so you can compare them fairly. Before posting, check that the post avoids anything about age, family, religion, national origin, disability or similar; if unsure, ask a local HR professional or attorney.
Copy-paste prompt
Help me hire for a [job title] at my [type of business] in [town]. My notes on the job: [paste notes: daily tasks, schedule, pay range, must-haves, nice-to-haves]. Write: (1) a job post under 300 words with a plain title, a short intro about working here, what you will do, what you need, pay and schedule, and how to apply; (2) a 5-question phone screen; (3) 8 interview questions, mostly "tell me about a time when..." questions tied to the job, with what a strong answer sounds like. Use plain, friendly language. Do not include any requirements I did not give you, and avoid anything that could be discriminatory.
Tips and watch-outs
- Don't paste applicants' resumes or personal information into free AI tools.
- Make sure the pay, schedule and requirements in the post are accurate. Some states and cities require pay ranges in job posts.
- AI can accidentally add requirements you don't need (degrees, years of experience). Cut anything that isn't truly required.
Review AI output before using it. Don’t paste confidential, customer or patient data into tools your company hasn’t approved.
