The problem
Most personal inboxes have thousands of unread newsletters, store promotions and notifications. Important emails (school, bills, appointments) get buried, and it feels like too big a job to fix, so it never gets done.
Step by step
- 1On a computer, open Gmail. In the search bar type unsubscribe and press Enter to see the mailing lists you get. If your Gmail shows "Manage subscriptions" in the left menu (click "More" if you don't see it), open it; it lists senders with an Unsubscribe button next to each.
- 2Unsubscribe from anything you don't read. Spend 10 minutes, not an hour; you can always do more later.
- 3Make a quick list of the email you DO want to see: family, school, work, bills, appointments, and the 3–5 stores you actually like. Write the sender names, not the email contents.
- 4Open ChatGPT (chatgpt.com) or Claude (claude.ai), paste the prompt below with your list, and ask it to write Gmail search filters for you.
- 5Back in Gmail, click the sliders icon at the right end of the search bar ("Show search options"). Paste one of the search lines from ChatGPT into the "Has the words" box, click "Create filter", then pick an action such as "Skip the Inbox (Archive it)" or "Apply the label" and click "Create filter" again. Repeat for each filter.
- 6Check your inbox for a few days. If something important got archived, open Settings (gear icon) → "See all settings" → "Filters and Blocked Addresses" and edit that filter.
Copy-paste prompt
I want to clean up my Gmail. Here are the kinds of email I want to keep seeing in my inbox: [list senders or types, e.g., my kids' school, my bank, my doctor's office, work]. Here are the kinds I want moved out of my inbox but kept: [e.g., store promotions, social media notifications, receipts]. Write Gmail search queries I can paste into the "Has the words" box of a Gmail filter, one per line, with a short note on what each one catches and which action to pick (Skip the Inbox, Apply a label, Mark as read). Use Gmail search operators like from:, subject:, category:promotions and OR. Keep it to 5–8 filters and warn me about any that might catch something important.
Tips and watch-outs
- You never need to give an AI tool access to your inbox for this. You only paste sender names, not email contents.
- Start with "Skip the Inbox" plus a label rather than "Delete it", so nothing is lost if a filter catches too much.
- Unsubscribe only from senders you recognize. For obvious spam, use "Report spam" instead of clicking unsubscribe links.
