The problem
Business owners get long reply-all threads, vendor agreements and customer emails with requests buried in paragraph six. Reading them carefully takes time, and a missed deadline or commitment costs money or goodwill.
Step by step
- 1Open the email thread or document. Copy the text (Ctrl+A then Ctrl+C on Windows, Cmd+A then Cmd+C on a Mac), or save it as a PDF.
- 2Remove or replace anything sensitive you don't want in an AI tool: bank details, Social Security numbers, passwords, and customer personal information.
- 3Open ChatGPT, Claude or Gemini. Paste the prompt below, then paste the text (or click the + button to attach the PDF).
- 4Read the action list, then check each item against the original. AI can miss or misread a detail, especially numbers and dates.
- 5Copy the action items into your to-do list or calendar, or into a short reply: "Here is what I have: ... Did I miss anything?"
Copy-paste prompt
Read the email thread or document below and give me a short summary for a busy business owner. Format: (1) Two-sentence summary of what this is about. (2) Action items as a table: what needs to happen, who is responsible (me, them, someone else), deadline if stated. (3) Money: any prices, fees, payment terms or penalties mentioned. (4) Open questions or decisions not yet made. (5) Anything unusual or risky I should read carefully myself, with a quote of the exact sentence. Do not add anything that is not in the text. [paste text]
Tips and watch-outs
- Free consumer AI accounts may use your chats to improve their models unless you turn that off in settings. Don't paste customer personal information, bank details or confidential terms; business plans (ChatGPT Team, Claude for Work) offer stronger data protections.
- For contracts, the summary helps you read faster. It is not legal review; have an attorney look at anything significant.
- Check every date and dollar amount against the original.
Review AI output before using it. Don’t paste confidential, customer or patient data into tools your company hasn’t approved.
