The problem
When items are backordered, inside sales spends hours answering "where is my order?" calls and emails. Customers who don't hear anything assume the worst and buy elsewhere.
Step by step
- 1Export the open-orders or backorder report from your ERP each morning (order number, customer, contact email, item, quantity, original date, new ETA).
- 2Use ChatGPT to write a short status email template for each case: delayed with a new date, partially shipped, and no ETA yet.
- 3Build a Power Automate flow that reads the report from SharePoint or OneDrive and drafts one email per customer with all their affected lines, using your templates.
- 4Have inside sales review the drafts in Outlook (Copilot can adjust tone) and send. Start with review on; only automate sending once the data is reliable.
- 5Log which customers were updated so reps can call the biggest accounts personally.

Prompt
Write three short customer email templates for an industrial distributor about order delays, using placeholders [contact first name], [PO number], [item lines], [original date], [new ETA]. (1) Delayed with a new ETA, (2) partially shipped with the rest to follow, (3) delayed with no ETA yet, promising an update by [date]. Each under 120 words, professional and direct, with an offer to suggest an alternate item. Do not promise anything that is not in the placeholders.
